Information we may collect from you

  • Information in your passport, drivers licence, utility bill or other documentation provided to us so we can undertake ID verification.

  • Information that you provide when you complete surveys that we use for research purposes, although you do not have to respond to them.

Duration of storage

Our data retention period is 7 years, but we will store the information referred to in this policy for as long as it is reasonable or necessary to do so, depending on its use. We will also retain data in line with any statutory obligations we are under. We have a policy of securely storing client files in digital format, and further information about this can be found in our terms of business. It is not usually possible for us to agree to requests for erasure of your file during the retention period once we have given you any legal advice.

Electronic ID verification

We undertake electronic identity verification on all our clients and those instructing us, to help us comply with our anti-money laundering responsibilities. We may also make these checks on other parties, for instance those paying our bills. These checks are undertaken by Experian who keep their own record that they have made the check for audit purposes. These are not credit checks and have no impact on credit files.

Sharing your information

We may share your personal information with third parties who process data on our behalf for the purposes set out above so that we are able to work with you efficiently. Such third parties are obliged to process your details in line with data protection legislation. Some third parties we work with (for instance Microsoft, who run our email system) may transfer your data outside the EEA, sometimes to countries without protections that correspond to ours. However, we require all third parties we work with to confirm compliance with UK data protection law.

We may share your personal information with third parties in the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
